Property Inventory, including Schedule of Condition
A Property Inventory is the catalogue of a rental property and all its contents, while the Schedule of Condition is a record of the condition of all these items. The Property Inventory and Schedule Condition are usually produced as a single report.
A Property Inventory with Schedule of Condition has several functions:
- it is a comprehensive description of the property
- it records the condition of every aspect of the property, including any items that are included in the tenancy
- it forms part of the legally-binding contract in the tenancy agreement between the tenant and the landlord.
Check In Reports
At Check In, we go through the previously completed Property Inventory document with the incoming tenant, explaining it in full and answering any questions that may arise. This is also the stage where any changes that have taken place in between the Inventory and Check In are noted, and any comments by the new tenant are added to the report.

- Any Tenant comments are noted
- Report is signed by tenant and clerk
- Meter readings are taken where accessible
- Keys Released
Check Out Reports
The Check Out report is an unbiased and independent comparison between the original signed Inventory and the current condition of the property and takes place at the end of the tenancy. Check Outs generally occur with the vacating tenant present.
All changes to the property will be noted and guidance given as to what would be considered fair wear and tear, what would be general maintenance for the Landlord’s attention and what is above fair wear and tear and may be considered to be damage.

- Appointment available with or without tenant presence
- Cleanliness documented
- Meter readings are taken where accessible
Interim Inspections
An Interim Inspection is one which is normally carried out periodically throughout a tenancy to review the condition of the property. Its purpose is to confirm that the property is being look after and to establish whether the property requires repair, decoration or maintenance. The report also assists in determining if a tenant is complying with their contractual agreements.
This inspection is especially concerned with identifying:
- Unauthorised occupiers
- Smoking in the property
- Pets in the property
- Rubbish/refuse build-up which may encourage vermin
